CODE OF RESPONSIBILITY FOR SECURITY AND
CONFIDENTIALITY OF DATA FILES
Security and confidentiality of student records
is a matter for concern of all Academic Center employees. Each person working in
the Academic Center holds a position of trust relative to this information and
must recognize the responsibilities entrusted to him/her and to the Academic
Center in preserving the security and confidentiality of this information.
His/her conduct either on or off the job may threaten the security and
confidentiality of this information. Therefore, an Academic Center employee or a
person authorized access to the Academic Center:
- is not to make or permit unauthorized use of
any information in files maintained, stored, or processed by the Academic
Center
- is not seek personal benefit or permit others
to benefit personally by any confidential information which has come to
him/her by virtue of the work assignment
- is not to exhibit or divulge the contents of
any records or report to any person except in the conduct of his/her work
assignment and in accordance with Academic Center policies
- is not to knowingly include or cause to be
included in any record or report a false, inaccurate, or misleading entry
- is not to remove any official record (or copy)
or report from the office where it is kept except in the performance of
assigned duties
- is to immediately report any violation of this
code to the supervisor
- is not to aid, abet, or act in conspiracy with
another to violate any part of this code.
For Academic Center employees, violation of this
code may lead to a reprimand, suspension or dismissal, consistent with the
general personnel policies of the University.
Note: Olga S. Peers
Academic Center for Student Athletes employees do not complete forms for
verification of grade point averages and other related information which specify
authorization by an "Academic Official", registrar, or other academic
officer (e.g. insurance forms). These forms must be taken to the Student Records
Office for the necessary authorization.
